Permissions Policy

OTC Permissions Policy

All OTC papers are copyrighted by OTC. The following policy, established by the OTC Board in December 2002, governs how OTC sponsor societies, authors, and third party organizations may use, or request permission to use, OTC papers. All requests for permission related to OTC papers should be sent to service@otcnet.org.

Permissions Related to Full Paper

1. OTC sponsor societies may publish any OTC paper in their journals (paper or electronic) if (a) the author designated the paper for peer review by the sponsoring society making the request, (b) the author did not designate a sponsor society for peer review of the paper, or (c) the sponsor society the author designated for peer review of the paper has not expressed an interest in publishing the paper.

2. OTC sponsor societies may include OTC papers in such non-periodicals as reprint volumes and workshop materials.

3. Direct requests from third-party organizations – i.e., those other than OTC sponsor societies -- to publish an OTC-copyrighted paper in a magazine or journal shall not be granted. OTC will consider such requests only if made by the author, as OTC’s practice is to release journal publication rights to the author, who may in turn transfer such rights to a publisher.

4. Requests from third parties to distribute paper copies of OTC papers (such as for short courses) or to republish OTC papers in a collection (book or CD-ROM) will be granted upon payment of a fee to OTC. See Table 1. Papers may not be distributed via the Internet.

5. Authors requesting permission to publish in a magazine/journal that is not published by an OTC sponsor society will be granted a one-time permission to publish. However, authors are requested to allow 6 months following the paper’s presentation before requesting publication elsewhere to allow time for sponsor societies to consider the paper for publication.
One-time permission will be granted to the author if (a) agreed to by the sponsor society previously designated by the author to review his paper or (b) the author did not designate a sponsor society for review, and/or (c) if no other sponsor society has demonstrated interest in publishing the paper. The permission is for one-time journal publication only, and provides for no other distribution than publication in a single issue. OTC retains all other rights as provided for under OTC copyright, including right to distribute the paper in all media.

6. Papers published in all the above situations shall prominently display the following statement:

7. A company may post OTC-copyrighted papers written by its employees on the companyIntranet, accessible only to employees of the company, if (a) the author was an employee of the company at the time the paper was written, (b) the paper was written within the scope of the author’s employment, and (c) the first page or screen includes prominent acknowledgement of OTC copyright.

8. No OTC paper may be held in an electronic database other than (a) one developed for OTC itself or (b) one associated with publication in a sponsor-society journal.

Permissions – Tables and Figures

1. OTC will grant permission to reproduce tables or figures from OTC-copyrighted papers provided that copyright on the OTC paper is clear and there is no indication the material is not original to the author of that paper.

2. Each table or figure used in another paper shall reference the source paper in the References and include the following statement in the caption:
© YEAR Offshore Technology Conference. Ref. X.
OTC will charge a research fee and a reproduction fee for such requests. See Table 2.

Usage of Papers Downloaded from OTC Papers Online

Subscribers can (1) make searches of OTC Papers Online, (2) download papers to hard copy or diskette, and (3) make up to 5 copies of a paper for internal use (i.e., by individuals who are authorized users under the terms of the subscription). No paper may be sold or in any manner, including electronic, distributed to anyone who is not an authorized user under terms of the subscription. Subscribers may not provide access information to anyone not included in the subscription agreement.

Papers in OTC Papers Online are copyrighted by the Offshore Technology Conference and are protected under copyright law. Recompiling, copying (by any means, including electronic) beyond the terms stated above and for any use other than personal, and republication in any form or medium is prohibited.

OTC reserves the right to suspend and/or terminate access to OTC Papers Online upon violation of the subscription agreement.

***The research fee covers OTC staff costs for time spent to verify copyright status of the source document and the tables/figures for which permission to reproduce is being sought. “Item” is defined as source document (i.e., individual OTC paper), not as number of tables and/or figures. For example, an individual requesting permission to reproduce two figures from a single paper would be charged a $20 research fee. An individual requesting permission to reproduce one figure from each of two papers would be charged $40.
